Frequently Asked Questions

When should I use PayTime?

If you have at least $1,000 in overdue invoices, PayTime is usually worth trying. At that point, even recovering one or two invoices can easily cover the subscription, and it usually means you're already spending too much time manually following up.

What are the chances of getting paid after I use PayTime?

No one can honestly promise a fixed recovery rate, because results depend on the client, the amount, and how old the invoice already is. But the timing data is clear: according to Debitura, once an invoice is 30 days late, the probability of being paid can drop below 70%, and after 90 days it can fall below 15%. That's why PayTime is built to follow up early, consistently, and without invoices slipping through the cracks. You can read that research here.

Will this hurt my relationship with clients?

That's one of the main things PayTime is designed to avoid. The emails are written to sound like calm, professional follow-ups from your business, not like aggressive collection notices. Early reminders stay polite, and the tone only becomes firmer when an invoice has been overdue for much longer.

What if an invoice is already very overdue?

PayTime doesn't start every invoice with the same message. If something is only a few days late, it starts in a softer track. If it's already weeks overdue, it starts with a more direct first email so you don't lose more time sending reminders that are too gentle for the situation.

What if the client says they can't pay right now?

That's still useful. In many cases, the goal of follow-up isn't just to get an immediate payment, but to get a clear answer. A reply with a real payment date, a request for a payment plan, or a billing issue is much better than silence. PayTime helps turn ignored invoices into actual conversations.

Will my clients know it's automated?

No. Reminders look like personal emails from you — plain text, your business name, your reply-to address. No PayTime branding in the emails.

What if an invoice gets paid?

PayTime syncs with QuickBooks every few hours. When an invoice is marked paid, reminders stop automatically. You can also manually pause any invoice.

Do I need to change how I invoice or collect payments?

No. PayTime sits on top of your existing workflow. You keep invoicing in QuickBooks, and PayTime handles the follow-up layer after something becomes overdue. You don't need to rebuild your billing process to start using it.

What's included in the free plan?

The free plan covers up to 3 overdue invoices per month. No credit card required. Upgrade to Pro ($99/mo) for unlimited invoices.

How do I disconnect QuickBooks?

Go to Settings in PayTime and click “Disconnect”. You can also revoke access from within QuickBooks under Apps → Manage Apps.

Is my data secure?

Yes. All data is encrypted in transit and at rest. We use OAuth 2.0 for accounting connections — we never see your QuickBooks password. See our Privacy Policy for details.

Why is late payment such a big problem for small businesses?

Because it hits cash flow long before it shows up as a reporting problem. QuickBooks reports that more than half of small business owners say late customer payments are the source of their cash flow problems. If you want to read more, QuickBooks covers that here.
